It’s something we hear often from advisors before trying Qwil, and it’s a fair concern to have. Nobody wants to onboard their clients onto a new platform, give them a new login and set up a new touchpoint and an additional inbox to check.
Sticking another app to sit alongside portals, email and encrypted emails may seem like a headache, but first it is important to take a look at existing processes. The question is not really “Will my clients download something new?”, but “are my clients happy with what they have now?”. For most firms that maintain diligent compliance regulation, the answer is typically no.
Whether that be because clients are stuck in forgot password loops for encrypted emails or in clunky portals they never log into, or are trying to share their financial documents insecurely over WhatsApp, the industry has always had a communication problem. As with any change, in any business, adoption of new processes starts from the top. Resistance to change typically comes more on the staff side than the customer side. After onboarding to Qwil, the vast majority of the work is done. Clients find Qwil much easier than the clunky secure alternatives like encrypted email and portals. However as with any new technology, the adoption is only as good as the ongoing commitment to use it as your primary communication platform. So let’s also look at ways to maintain engagement post onboarding:
We are very habitual beings, especially when it comes to technology. It is so easy to quickly send a WhatsApp message out of pure muscle memory. Your clients may also do the same. However it is important to firstly, ensure that there is policy and enforcement around the business of a no-WhatsApp or SMS policy. And when a client falls back into that habit, it is key to refer them to Qwil. Qwil allows you to copy a link to a particular message, which may be where you requested forms, or answered said question, making it easy to refer your clients back to Qwil.
Making Qwil your professional, branded, dedicated communication channel means enforcing that both with clients and internally within your team. The continued enforcement and refusal to default to other platforms is a responsibility that lies on the staff.
